The employee in this position will be responsible for processing and maintaining all contracts approved by the City Council, prepare all requisitions for purchases regarding all office expenditures and maintaining accountability files. Employee will be required to assist with preparation of the departmental budget by providing various reports regarding expenditures.

Individual must be able to work in a fast-paced and multitasked environment, possess exceptional proofreading/editing, customer service, planning and organizing skills. The employee in this position will be responsible for processing and maintaining all contracts approved by the City Council, prepare all requisitions for purchases regarding all office expenditures and maintaining accountability files. Employee will be required to assist with preparation of the departmental budget by providing various reports regarding expenditures. Employees in the City Secretarys Office have heavy public contact with both telephone and in-person customers and must exhibit outstanding diversity and interpersonal communication skills. Employee will process newly adopted resolutions and ordinances; update document indexing systems after each City Council meeting; create electronic files and provide backup support to Customer Service counter. Employee will be required to provide support at City Council meetings on a rotational basis with other staff members to include working evening City Council meetings as scheduled and will have frequent contact with Mayor and Council Members and Executive Level staff. Employee will be required to operate Granicus Video Streaming system during Pre-Council Meetings and occasionally at City Council Meetings along with other members of the assigned staff.

Skills / Requirements

An Associates Degree or higher from an accredited college or university with major coursework in Business, Business Administration, Public Administration, or a related field PLUS two (2) years of combined complex clerical and administrative experience required. In addition to the duties required by this classification, proficiency in BUYSPEED, Word, PowerPoint, Excel and Access software is preferred.
OTHER REQUIREMENTS:Preference will be given to candidates who possess experience with webpage development and maintenance as individual will be required to maintain the departments webpage. Employee must be detail oriented, flexible and able to work within deadlines.
